JOB DESCRIPTION AND PURPOSE
The job of the Personal Secretary is an open ended contractual job. The personal secretary directly report to the General Secretary.
The Overall purpose of the Personal Secretary role is to Manage and execute administrative and executive support activities associated with the office of the General Secretary. The Personal Secretary will serve as principle point of administrative contact and liaison with internal and external clients. The incumbent will provide specialist administrative services as appropriate in such areas as fiscal management; public relations and affairs; general business administration; and/or development and relations, in the General Secretary's Office.
MINIMUM OIIALIFICATIONS AND EXPERIENCE
Applications are invited from suitably qualified Ugandans to fill the following vacant posts in Uganda National Teachers’, Union (UNATU).
Applications should be submitted in triplicate, to the office of the General Secretary, UNATU, at the Teacher’s House on Plot 28 - 30, Bombo Road, Kampala, to be received not later than 5:00 pm, 5th February 2018.
Applications should bear the title and reference number of the post being applied for.
Applicants should attach certified photocopies of their academic transcripts and certificates, National ID, documentary evidence of all experience claimed, plus recent passport photograph on each application form. Applicants must also provide Reference Letters from three different referees, one being a current or most recent supervisor who should be advised of the closing date to avoid delays. Qualifications from only recognized institutions will be considered.
Applicants should not be more than 50 years of age. Active Members of UNATU who meet the under listed minimum qualifications and experience are encouraged to apply.

- Bachelor Degree in Secretarial Studies, Public Administration or Human Resource Management
- Postgraduate qualifications in any of the above will be an added advantage
- At least 3 years of practical and progressive experience in similar role in a reputable and busy organisation
- Well developed interpersonal and team skills and proven ability to be flexible in demanding situations.
- Pleasant and courteous personality
- Proven knowledge of management of communication systems, office management, and filling and computer knowledge is a must.
- Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions on operational and programmatic matters concerning the General Secretary’s Office;
- Provides and/or oversees provision of staff support to the office, to include handling walk-up and phone interactions, maintaining calendars and travel arrangements, screening, analyzing, and responding to all official incoming and outgoing correspondences;
- Oversees and administers the day-to-day activities of the General Secretary's office; develops procedures, and systems which ensure productive and efficient office operation.
- Collects and analyses information on specific issues, as required, and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature;
- Assists the General Secretary in communications with the National Executive Committee members, other dignitaries and prospective members;
- Oversees the operation of office welfare, plans and monitors expenditures as appropriate;
- Booking and arranging international travel and accommodation for visiting stakeholders and staff after confirmation from relevant authority;
- Undertake any other related duties as may be assigned;
