The Democratic Governance Facility (DGF) was set up in July 2011 by eight Development Partners: Austria, Denmark, Ireland, the Netherlands, Norway, Sweden, the United Kingdom and the European Union. The aim was to Provide harmonized, coherent and well coordinated support to State and non-State entities to strengthen democratization, protect human rights, improve access to justice and enhance accountability in Uganda.
The DGF is legitimized by the agreement between the Development Partners and the Government of Uganda to support good governance in the country. Therefore, our work is aligned to the Constitution of Uganda and National Development Plan. in the first phase (DGF l), the facility worked in partnership with over 80 State and non-State actors. Currently, the facility is planning to implement the second phase of the programme (DGF II) which nine from January 2018 to December 2022. The DGF II programme was made possible with funding from seven development partners: Austria, Denmark, Ireland, the Netherlands, Norway, Sweden, and the European Union. to the new phase, DGF will have three spheres of work: (i) Democratic processes that build citizen-state relationships; (ii) Citizen empowerment, engagement and accountability; and (m) Protection of human rights, access to justice and gender equality.
The DGF Facility Management Unit (DGF FMU), which is responsible tor the day-to-day management and implementation of the programme, wishes to recruit talented and experienced individuals to join its team. Successful candidates will be part of a team of professionals with different skills; talents and competencies that work collaboratively within and across the three DGF spheres.

OFFICE & ADMINISTRATIVE ASSISTANT
Main purpose of the job
Reporting to the Administration & Logistics Manager (ALM), the Office & Administrative Assistant is responsible for receiving and directing visitors and telephone calls to the respective officers within the FMU as well as providing secretarial, clerical and administrative support to DGF staff.
Key Responsibilities
  • Receive, answer, and direct all incoming calls to the respective recipients and handle callers‘ inquiries whenever possible taking the caller/visitor‘s message in case needed DGF staff is not available.
  • Receive and guide visitors to the respective DGF staff in a professional manner and ensure that all visitors coming into the office sign the visitors‘ record book.
  • Ensure effective and timely cleaning of the office by the contracted cleaning service providers, keep and maintain the reception area in a clean and tidy order at all times.
  • Monitor and ensure that all telephone lines & extensions are in proper working condition and maintain an updated office telephone list.
  • Support staff to photocopy, bind & scan documents, as and when requested.
  • Ensure that office equipment is engraved and functional at all times and inform the Administration and Logistics Manager in case of any faults. Ensure that the cameras, projectors, and laptops are always fully charged, have updated licenses and antivirus, and are logged out when staff need them and logged in when returned.
  • Timely and adequately track usage of kitchen and stationery stocks, filling in the usage details into the kitchen and stationary stock templates, raising the stock quantities required for the next purchase to the Administration K Logistics Manager.
  • Contact the electrician and phone line engineers when office lights and lines are faulty.
  • Arrange for meetings and ensure tidiness in the meeting rooms and ensure that refreshments such as coffee and tea are in place.
  • Receive, stamp, distribute newspapers accordingly and photocopy/scan relevant newspaper cuttings appropriately as directed by staff.
  • In alignment with the Human Resource manual, maintain confidentiality about DGF and DGF implementing partners.
  • Other tasks as assigned.
Key Requirements
  • Degree in Secretarial work, Office Management, Social Sciences or any other related field.
  • Two years‘ experience in preferably a multicultural oftioe environment.
  • Excellent customer care skills with the ability to welcome visitors with a smile.
  • Knowledge of reception managementtir document management
  • Experience with MS Office suite.
